If dont want to be bound by strict time frames and a set schedule for your event, why not host an open-house? Here, guests can drop by at your office, a hotel meeting room, a local restaurant or whatever venue is appropriate, when they want and leave at their leisure. The ebb and flow of guests will ensure theres plenty of room for mingling, quiet business conversation, and networking. Being less bound to structure may allow you and your guests to enjoy your event more.
A theme can make event planning almost painless. Why not pick a theme for your affair that will complement the reason for the event? Guests who care to bring a gift if gifts are appropriate may want to select something in line with the theme. And dont forget the musical backdrop. Music should be soft, smooth, and subtle, not loud, overpowering, or annoyingly obnoxious.
Make guests feel comfortable at your venue. Offer plenty of seating possibilities, and create areas for chatting by setting up a few seats around small tables throughout the location. Some stand-up tables are ideal for this type of event as well.
If you are in a restaurant or meeting room, make sure you have arranged for the seating and stand-up tables in advance, as many venues may have to set these up, or even bring them in. Also, make sure to ask in advance if there there is amy extra charge for doing so.
Dont feel like you have to go crazy decorating. A few floral or candle arrangements are all you need to highlight the venue. Finger foods and anything that can be prepared in advance by the restaurant or a caterer, are ideal for open-house events. Dont forget to refresh supplies as guests leave and new ones arrive. Slightly more messy foods like dips or hot appetizer should be served in designated dining areas, along with beverages.
A business open-house is usually a networking event as well. Arrange to have portable foods and beverages available to encourage guests to spread out and mingle.
Also be mindful of the bar. Whether it is a hosted bar or not, alcohol consumption by your guests, and their ability to drive can become an issue especially if the event goes into the later evening hours. Be sure to have alternative transportation available should it be necessary.
Finally, remember to include specific directions on your invitations, along with any parking instructions that may be required. And consider hanging balloons or a sign outside, so guests know they have the right location and where to park. |
